Account information

• Name and email address (provided at registration)
• Authentication credentials (managed by Supabase Auth)

Household data

• Household member names and email addresses
• Records you create — including titles, dates, notes, categories, and uploaded documents
• Reminder preferences and recurrence settings

AI interactions

• Questions and prompts you submit to our AI features
• Context data sent alongside your queries to provide relevant answers

Usage analytics

• Anonymous, aggregated analytics collected via Vercel Analytics
• No personally identifiable information is collected through analytics

3. How we use your data

• Provide the service — store your records, send reminders, manage household membership
• AI processing — send relevant data to OpenAI to answer your questions and provide intelligent features
• Analytics — understand how the service is used so we can improve it
• Communication — send you service-related emails, including reminders and account notifications

4. Lawful basis for processing

We process your data under the following lawful bases (GDPR Article 6):

• Contract performance — processing necessary to provide the Remindwise service you signed up for
• Legitimate interests — analytics and service improvement, provided these do not override your rights
• Consent — where required, for example for optional communications

5. AI transparency

Remindwise uses OpenAI to power its AI features. When you use these features:

• Relevant data from your household (such as record titles, dates, and notes) may be sent to OpenAI to generate answers
• Your data is not used to train OpenAI's models
• OpenAI does not store your data beyond the time needed to process your request
• AI responses are generated and not guaranteed to be accurate — see our Terms of Service for more detail

6. Data sharing

We share your data only with the following third-party services, strictly to operate Remindwise:

• Supabase — database infrastructure and authentication
• OpenAI — AI processing (as described above)
• Vercel — hosting and anonymous analytics

We do not sell your data to any third party, ever. We do not share your data with advertisers or data brokers.

7. Data storage and security

• Your data is stored in a PostgreSQL database hosted by Supabase, encrypted at rest
• The application is hosted on Vercel with HTTPS enforced on all connections
• Authentication is handled by Supabase Auth with secure session management
• We follow industry-standard security practices to protect your data

8. Data retention

We retain your personal data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law.

You may request deletion of your data at any time by contacting us at privacy@remindwise.io.

9. Your rights (GDPR)

If you are located in the UK or European Economic Area, you have the following rights:

• Access — request a copy of the personal data we hold about you
• Rectification — request correction of inaccurate data
• Erasure — request deletion of your data
• Portability — request your data in a portable format
• Restriction — request that we limit processing of your data
• Objection — object to processing based on legitimate interests
• Withdraw consent — where processing is based on consent, withdraw it at any time

10. Children's privacy

Remindwise is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe we have collected data from a child, please contact us and we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date. We encourage you to review this policy periodically.
